Manage user access & permissions
Manage your team’s access by inviting new users and assigning specific roles. This guide explains how to invite users, understand licence types, and manage permissions to ensure data security and platform efficiency.
Overview
Ravio’s user and role settings allow you to control who can access the platform and what data they can see. By assigning different licence types, you can ensure that HR admins have full control while managers or analysts only see information relevant to their roles.
Prerequisites

Permission level: Admin only.

Data needed: Employee email addresses and their corresponding HRIS (Human Resources Information System) records.
Step-by-step instructions
Step 1: Access user management

Navigate to Settings > Users in the left-hand sidebar.

Here, you can view all current users, their assigned roles, and their last active date.
Step 2: Invite a new user

Click the Invite users button in the top right corner.

Enter the user’s email address and click Add.

Select a Role from the dropdown menu (e.g., Admin, HR, Manager, or Employee).
- Link an employee: Search for and select the corresponding employee record from your HRIS.
Tip: You must link an employee record for Manager and Employee roles so Ravio can correctly identify your internal hierarchy.

Click Send invites. The user will receive an email invitation to join Ravio.
Step 3: Understand roles and permissions

Navigate to Settings > Roles.
- Click on a specific role to view its permissions. For example:
- Admin: Full access to edit all content and settings.
- Market Analyst: Can view market benchmarks but cannot see internal company or employee data.
- HR: Can view all content throughout the Ravio platform. Cannot edit content or settings.
- Recruiter: Can view market benchmarks and bands only. Cannot view any employee data.
- Manager: Can view compensation data for themselves and their direct/indirect reports.
- Employee: Can view content related to themselves only.
Step 4: Edit and remove users

Return to the Users tab.

Click the three dots icon next to a user's name.
- Select Edit to change their role or Remove to revoke their access.
Pro tip: Always remove users promptly when they leave the company to maintain account security.
