How to integrate with HR Cloud
A step by step guide showing how to set up an integration between Ravio and HR Cloud
Prerequisites
You must be an administrator of HR Cloud in order to integrate with Ravio successfully. To check whether you are an Admin, go to ‘My Profile’ then ‘Account’ tab. Your assigned role will be under the Security tab. This should be ‘HR Admin’ or something similar.

👉 Find out who has the Administrator role in your company's HR Cloud instance, and ask them to grant your account the role or take over the setup process.
Step by Step Instructions
The integration works by connecting an Admin user in HR Cloud to Ravio. You have options to either use an existing Admin account or setting up a new Admin account. For scalability Ravio recommends setting up a new Admin account.
❓ The reason we recommend creating a new Admin account is because if you use an account tied to a real employee, if their role changes from Admin or they leave the company the integration with Ravio will break. Therefore creating a new placeholder employee that is an Admin is preferred.
Option 1 - Creating a new Admin account
First navigate to the ‘People’ Application in HR Cloud. This is in the menu on the left hand side of the home page. Once on the ‘People’ Application, add a new employee by clicking the plus on the top left of the screen.

The new employee screen will prompt you to add the required details for this employee. Make sure that below fields are filled in and selected:
- Account Email has to be a valid email that you have access to. You will need to ‘Activate’ the account.
- Employment Status = Active
- Task Assignment = No Auto Assignment

When the new employee is added, by default they are created with an inactive account and without the HR Admin role.

The account status can be changed to active by clicking the link in the email that will have been sent to the email address provided in the setup.

You can also change the role by going to ‘Change Security’. This will allow you to change the role to ‘HR Admin’.

Option 2 - Using an existing Admin account
The main step in this integration is entering the Username and Password of the HR Cloud Admin account. Entering the details here will allow Ravio access to the required fields.

The last step once the account details are created/saved is entering the Username and Password of the HR Cloud Admin account. Entering the details here will allow Ravio access to the required data points.
